Communications may be added at any time

Number | Display Only field Internal number of the
Communication |
Date | Defaults to today’s date May be changed |
Communication Type | Display Only field The Communication Type selected when the Communication was created |
Format | Display Only field Will detail if the Communication Type is a Memo Communication, Master / Copy Communication, or a File Attachment The fields on the dialog may vary according to the Communication format |
Description | The description will pre fill with the description associated with the Communication Type selected but can be over written if necessary Up to 6000 characters are available This is where the detail of a Diary Note will be entered |
Notes | Display Only field Contains the details entered into the Notes field within the Communication Type selected |
Staff | This is the staff member who created the Communication On creation, it defaults to the current user logged in to Vault |
Print/Trans Date | This will show when the Communication was printed |
Completed Date | This is the date on which the Communication was completed. If the Communication Type, does not have ‘Requires Follow Up’ checked on, the Communication is deemed to be completed and the completed date set to the current date. If the Communication Type does have ‘Requires Follow Up’ ticked on, the Communication is deemed to require follow up and the completed date left blank. The completed date can then be updated manually once the required follow up has taken place. |
Next Action Date | Next Action Dates are entered to Communications (usually Diary Notes). They are used for creating tasks (actions) that are to be followed up on a particular date. |
File Name | This is the location and filename of the MS Word™ document that has been used to generate this Communication It may refer to a Master Document or Copy Communication If the Communication is a file attachment, this will contain the attachment file path Note: UNC Paths should be used |
Dispatch Method | The Dispatch Method will display here. The status will updated to the default on the communication type. If dispatch centre is not used, the method will be Print Dispatch Centre Only |
Dispatch Address | The client email address will display here from the Client Contact Point set up on the client the communication is created for Dispatch Centre Only |
| Email Subject | The email subject set up on the Communication Type will display here Dispatch Centre Only |
Email Message | The email message set up on the Communication Type will display here Dispatch Centre Only |
Delete Date | Enter a date after which this Communication can be deleted Note: There is no automatic Communications delete function This field is for descriptive purposes only |
Priority | This defaults to Normal, but can be set to High for individual Communications Communications can be searched by priority from the Communication Browse |
Use Original Client Details | If checked on, the Communication will use the Client Details as at the time the Communication was originally created If not checked the Communication will use the current Client Details This flag can be checked on by default by checking on the ‘Use Original Client Details On Edit’ flag on the Communication Type |
Client | If the Communication has been created from a
client, the Client will be displayed here |
Account Quote | If the Communication has been created from a Quote,
this field will be displayed with the quote code and description |
Account Number | If the Communication has been created from an Account,
this field will be displayed with the account code and description |
Payable Account | If the Communication has been created from a Payable
account, this field will be displayed with the account code and description |
Receivable Account | If the Communication has been created from a Receivable
account, this field will be displayed with the account code and description |
Vendor Program | The Vendor program, as specified on the account,
will be displayed here |
Replacement Fields | The Communication Replacement Field for the Created Communication will display here |
