How to Print a Report

Concept

A number of reports and exports are available within each Argos Module menu. The details of these reports are available as separate documents.

Timing

This will depend on the report. Some reports must be run at the month end, and others can be run as required.

See the relevant report details for the timing requirements.

Access

  1. Any Print or Export Menu Option       
  2.  from some dialogs – no parameter or output options are given

The report and export dialogs are split into 2 sections

Report / Export Parameters

The report parameters are used to determine:
  1. Report Order – A report order is selected from the combo box. This determines the order in which the report data will be presented.
  2. Parameter Fields –The report parameters are used to restrict / filter the report so that the report contains only the required information.
E.g. Fixed Loan New Contracts Report

The report parameters would be entered as below:

The required output of the report is a list of the new accounts opened in September 2014, where the application was received via the company website.

Output Options

There are two different reporting frameworks used in the system

Depending on the report selected, you will be presented with one of the following output options:

'Crystal' Report



Output Options
Explanation
Output to Printer
Click if the report is to be output directly to the default printer

This may be clicked in conjunction with export options so the report may be sent directly to the printer as well as being exported to a file
No Copies
This is the number of copies to be printed if 'Output to Printer' is click on
Export Format
The options for this are:

Crystal ReportThe export will be created as a crystal report file which can be viewed using the Crystal Report Viewer Application. (This is a third party product which is not supplied by Argos)
Excel 5
The export will be created as an Excel 5 spreadsheet
Html
The Export will be created as an HTML file which can be viewed via the web
NoneNo export file is created
File Folder
[F2] to browse for a folder in which the exported file will be stored

Once the correct folder is located click  to copy the folder and path back into the report options file folder


Filename Prefix
This is the prefix of the exported file

For example, LeAssSoldRep may be the prefix for the export file created from the Lease Asset Sold Report dialog
Filename Date
This date will be added on to the report filename prefix 

[F2] to call the date builder to use a dynamic date in this field

For example, you may always want this date to be todays date, use the date builder to specify todays date. Save it in a preset. Every time you load the preset, this date will default to the current days date.
Date Format
This is the format of the date to be attached to the file name

The options are:

DDMMYYThe date will include day, month and year i.e. 010825
MMYY
The date will include month and year i.e. 0825

This is for reports that are run on a monthly basis
None
No date will be added to the filename

For example if the Lease Asset Sold report is run for month end, the filename prefix may be set to 'LeAddSoldRpt'

The date build may be set to used the Lease Month end date, which will automatically change for each month

The Date format may be set to MMYY

This will create a file name of 'LeAssSoldRpt0825' where the Lease month end is to to 31/08/25
Resulting Filename
This will display the location and filename generated using the above fields

This is where the file will be saved

Export


Output OptionsExplanation
Export Format
The options for this are:

Tab Delimited
This format is usually used when the export will be imported into another system
CSV
The export will be generated as a CSV file, which may then be accessed using Microsoft Excel
None
No export file is created

'Dev Express' Report

Explanation
View Report
Selecting the 'View Report' option will open the resulting report in the Report Preview dialog

The preview dialog provides a number of options to configure; print and export report (see section below on the Report Preview dialog)
Print Report
Selecting the 'Print Report' option will send the resulting report to the default printer set up on the workstation and will print the number of specified copies

With this option the report is not shown on screen
Create Communication
This option allows for the report to be created as a PDF communication file attachment, rather than a report file

The advantage of this option is that client based reports such as account summaries and account statements can be bulk emailed using the dispatch center

Note: If the option is disabled on the report parameters dialog then it is not available for the report
Export Report
Selecting the 'Export Report' option allows the user to create an electronic file of the resulting report will all formatting, grouping and headings

The user can select  the format of the file and the location and filename

This allows the file to be saved in PDF for future reference or Excel formats for manipulation of the data

With this option the report is not shown on screen

Currently the export options are:

PDF
Excel (.xls)
Excel 2007+ (.xlsx)


The file name and path must also be entered so the file can be exported and saved

Note: Ensure that you use the correct Excel format in accordance with the Microsoft Office version
Export Report Data
This option allows the raw report data to be exported to a .csv file which can then be used as a data source

In most instances, additional columns of data will be included, and can be useful for custom reporting or interfacing with a third party application (for example, an Excel pivot table)

Notes:
With this option the report is not shown on screen
If the option is disabled on the report parameters dialog, then it is not available for the report

Available when the report is output to view screen

Button
Function
Explanation

Search
Allows the user to enter text and search the report for matches



Open Preview File
If a report has been saved using the 'Save' option the resulting preview file can be opened and viewed

Save Preview File
Allows the report to be saved in the native XtraReport Preview file format (.prnx)

We recommend the export functions are used in preference to this

Print
Prints the report allowing the user to select the printer that will be used and the pages to be printed

Quick Print
Print the report using the default printer set up on the workstation

Page Setup
Allow paper type, margins and orientation to be changed

Scale
Allows the report scale to be altered

This can change the font size to force the report to the specified size as a percentage, or force the report to a specified number of pages

Hand Tool
Selecting this option alters the cursor to a 'hand' icon which allows the report to be moved around within the preview window

Magnifier
Selecting this option alters the cursor to a 'magnifying glass' icon

When clicked it will either zoom in or out on the selected location

Zoom Out
Clicking will reduce the zoom percentage

Zoom
Enter a percentage to zoom to that scale

Zoom In
Clicking will increase the zoom percentage

First Page
Return to page 1

Previous Page
Go back one page

Next Page
Go forward one page

Last Page
Go to the last page of the report

Multiple Pages
User can select the number of pages which are visible within the preview dialog at once



Background Colour
Allows the colour of the background to be altered

Watermark
Allows a text or image watermark to be applied to the report



Export Document
Export the report to the various file formats



Email Document as Attachment
Saves the file in the selected format then opens default email client with the file as an attachment


Close
Close the Preview dialog
